How to Organize Your System with Categories

Maintaining an organized database is essential for long-term productivity and professional service delivery. PropertyCareApp provides a flexible Categories system that allows you to segment your contacts, tickets, and negotiations for instant retrieval and better reporting.

Step 1: Navigating to Category Setup

The foundation of your organization starts in the software configuration.

  1. Go to the Settings or Types menu on the sidebar. [00:04]

  2. Click Add New to begin creating a new classification. [00:08]

Step 2: Naming and Module Assignment

To keep your workspace clean, each category must be assigned to its relevant module:

  • Name: Choose a descriptive title (e.g., "VIP Client," "Maintenance Request," "Urgent Deal"). [00:09]

  • Module (Model): Select where this category should appear. You can choose between NegotiationsTickets, or Contacts. This ensures that "Plumbing Issues" only shows up in tickets and not your sales leads. [00:13]

Step 3: Creating a Hierarchy with Subcategories

For more granular control, you can nest categories within one another:

  • Main Category: For example, "Property Buyers."

  • Subcategory: Under the main category, you can add specific types like "Residential Property" or "Commercial Property." [00:18]

  • This structure allows you to filter data globally or drill down into specific niches. [00:24]

Step 4: On-the-Fly Category Creation

You don't need to leave your current task to add a new category. If you are in the middle of creating a New Contact and realize you need a new category:

  1. Click the Add New button located right next to the Category dropdown menu. [00:28]

  2. A popup will allow you to create and save the new category instantly.

  3. The new category will be automatically applied to the contact you are currently editing. [00:33]
